Create a Project Plan Wizard
The Plan a Project Wizard is a tool to assist with planning indicative project scope, cost and program for building work. The Wizard has been designed to apply to a single asset and will ask a series of questions relating to location, commencement date and risk that will require some estimate judgements to be made along the way. Summaries of interim results will be provided throughout the Wizard, with a full summary of the results provided at the finish.
NAVIGATION
From the Main Menu, click Projects/Planned Project List. Note: A list of Planned Projects will display.
From the Planned Projects List, click New. Note: The Project Plan Wizard screen will display.
Step
1 - Start
Select
Agency from
.
Click Next to begin wizard.
Step
2 - Project Details
Enter
a unique Project
Name in .
Enter
a Description (brief outline) describing the project in .
Select
an existing asset using the . Click
Select Asset button. Note:
A window opens with a list of assets.
Click next
to the appropriate asset and click Select. Note:
The asset
will display in the
OR
Leave blank.
Click Next to proceed or click Previous to go back one screen.
Step
3 - Asset Details
Select
Facility Type
from . Note:
This defines
the particular type of asset that the work is to be performed on.
Select
Location from
that the asset is or will be located.
Click Next to proceed or click Previous to go back one screen.
Step
4 - Accommodation Needs
The accommodation needs can be completed by selecting Facility Type, Functional Area or None. Site Works can be completed by selecting Site Works General, Site Works Components or None.
Note: The functional areas and site works components data is displayed from SAMIS. If incorrect it must be corrected in SAMIS.
To
select Facility Type
only, click next to Facility Type. Note:
The Facility
Type selected in the previous step: Asset Details will display.
OR
To select Functional
Area/s, click next to Functional Area. Note:
A list
of Functional Areas will display. Enter
the number required for each asset Functional
Area (e.g. 3 if your project requires 3 x 'Office - General') in
the
for this project plan. Note:
A
message will appear if you have entered a number relating to the area
or component, e.g. 5 utility rooms rather than 1 utility area. The system
will give you an option to continue or cancel. You
will enter Functional Areas in square metres in the next step: Schedule
of Accommodation.
OR
If there is no Facility
Type or Functional
Area/s required, click next to None.
To
select Site Works
only, click next to Site
Works General. Click
the
next to either New
or Redevelopment. Note:
A loading factor will be applied.
OR
To select Site
Works Components, click next to Site Works Components.
Note:
A list
of Site Works Components will display. Enter
the number required for each asset Site
Works Components (e.g. if your project requires 1 x 'Carpark')
enter '1' in the
for this project plan. Note:
A message
will appear if you have entered a number relating to the area or component
e.g. 25 carparks
rather than 1 carpark area. The
system will give you an option to continue or cancel. You
will enter the Site Works Components areas in square metres in the next
step: Schedule of Accommodation.
OR
If there are no Site
Works or Site
Works Components, click next to None.
Click Next to proceed, or click Previous to go back one screen.
Step
5 - Schedule of Accommodation
Displays the list of asset functions selected on the previous step - Accommodation Needs. The list is expanded to show the number of each of the asset functions selected. The user enters the area/s for the functional area they require against the type of work that is to be performed.
To assist in your response to this step, click on Library at the top of the screen and search resources for Schedule of Accommodation.
Click
next to Gross
or Net
to indicate what the area includes. Note:
If you
select Net,
the system will apply a grossing factor automatically and convert the
areas into Gross and display in the Current Cost Summary.
Enter the Area/s
in m2 of the functional
areas and site works if applicable in the under the appropriate development action heading/s (New, Minor Development, Major Development,
Fitout). Note: Hover
cursor over each heading to display heading descriptions.
To
remove a listed Functional
Area, click under the heading Remove.
Click
Next to proceed
or click Previous to go back one screen.
Step
6 - Current Cost Summary
The current cost summary displays the summary of the costs calculated on the basis of the information provided from the schedule of accommodation and input from other details.
Total
Area - the total area of the asset that the work is for.
Indicative Cost Range: the range of cost between the low and high
quality stream.
Indicative Current Cost - the total current cost for the low and
high quality stream.
Additional Costs - a total figure of any additional costs.
If
the indicative Current Cost exceeds the maximum value (ie $10 million),
the following message will display at the top of the screen:
"The indicative Current Cost exceeds the maximum value (ie $10
million) and the 'Plan a Project' wizard is not applicable. Please contact
Building Management Program Office for assistance through 'Contact Us'."
The Next
button will be disabled, click Previous
to go back to Step
5 - Schedule of Accommodation.

7 - Date Details
Enter
Nominated start of

the date you are considering to start the project from the concept phase.
Note:
You cannot
nominate a date in the past.
Click Next to proceed or click Previous to go back one screen.
Step
8 - Cost on Completion Summary
Displays a summary of the calculated program - the calculated costs plus the costs associated with the length of the program and any additional costs.
Indicative Program for Completion - indicates the period of time the project is expected to run in weeks based on the high and low quality streams, displaying the approximate end month and year based on the nominated start date.
Indicative Cost Range - indicates the cost of the project with annual loading applied.
Indicative Completion Cost - indicates total cost calculated for the project with the annual loading applied plus any additional costs with no loading factors.
Click Next to proceed or click Previous to go back one screen.
Step
9 - Risk Details
Select
the Risk Score from next to each risk you believe to be applicable to this project
plan. Note:
Hover cursor
over Risk
name/s to view examples of issues.
Click Next to proceed or click Previous to go back one screen.
Step
10 - Risk Summary
The calculated risk summary is displayed with the calculated risk score shown as P (Project) on the graph.
Calculated Score - the total score calculated from the risk scores.
Calculated Risk - the risk level calculated based on the risk matrix.
Adjusted Risk - the risk level assigned to project if the calculated level is not applicable due to other factors not included in the risk calculation.
To
adjust the calculated risk, select Risk
from .
Click Next to proceed or click Previous to go back one screen.
Step
11 - Project Summary
This screen displays the final results for all area calculated in the wizard.
Gross Building Area - asset area/s in square metres that the work is for broken into New, Minor Redevelopment, Major Redevelopment and Fit development actions.
Site Works Components Area (if applicable) - asset area/s in square metres that the work is for broken into New, Minor Redevelopment, Major Redevelopment and Fit development actions.
Total Gross Building Area - total area in square metres of asset that the work is for.
Indicative Program Range - indicates the period of time the project is expected to run in weeks based on the high and low quality streams, displaying the approximate end month and year based on the nominated start date.
Indicative Cost Range - indicates the cost of the project with annual loading applied for Building (including Site Works, Furniture, Fittings and Equipment, Fees and Additional Costs.
Indicative Completion Cost - indicates total cost calculated for the project with the annual loading applied plus any additional costs with no loading factors. The additional costs are not considered in the program, escalation or cashflow calculations.
Indicative Cash Flow - indicates the cash flow expected for the project over the number of financial years the program has been calculated to run.
Calculated Risk - the risk level calculated based on the risk matrix.
Adjusted Risk (if applicable) - the risk level assigned to project if the calculated is not applicable due to other factors not included in the risk calculation.
Factors used in calculating the total costs include escalation (6%), Contingency (20%), Location (10%), Grossing (30%), and Site Works (20%).
Click Previous to go back one screen.
Click
Print to print
the project summary.
Note: A
print dialog box will be displayed, click Print
or Cancel
to close dialog box. You
can also save the summary to your PC by selecting File/Save As.
Click
Cancel to
cancel the plan a project wizard.
Note: This
does not save any details.
Click
Finish to
save and end the wizard, and return to Planned Project List.
Note: The
planned projects list will display with the new project plan.
